What To Do When Switching Email Providers


If you’re moving to a new email service or provider, here are the key steps we recommend to ensure a smooth transition:

 
  1. Notify Your Contacts:
    Send a message to friends, family, clients, or coworkers informing them of your new email address.
    Example:
    "Hi! Just a quick note to let you know I've changed my email address. Please update your records and use [newemail@example.com] going forward. Thanks!"

  2. Update Your Accounts
    Go through your online accounts (banks, subscriptions, shopping sites, etc.) and update your email address in the account settings. Prioritize accounts tied to financial institutions, recovery options, and security alerts.

  3. Set Up Email Forwarding (If Possible)
    Check if your old email provider allows you to forward new incoming messages to your new address. This can help catch messages from contacts or services you may have missed.

  4. Export or Back Up Old Emails
    If you want to save messages from your old account, back them up or use a tool (like Outlook, Thunderbird, or your new provider’s import tool) to migrate your email.

  5. Set an Auto-Reply on Your Old Account
    If supported, set an auto-reply message letting senders know your email address has changed.
    Example:
    "This email address is no longer monitored. Please contact me at my new email: [newemail@example.com]"

  6. Monitor Your Old Account (Short Term)
    Log in periodically (if still accessible) to double-check for any important messages you may have missed.
